As president of SOAS, I recently made a proposal to the SOAS Board of Directors to make some small changes in the duties & responsibilities of the Tournament Director & Secretary positions and change the way each position is compensated for the work they do. Although there were some concerns from a few of the board members, the majority agreed that the proposals were in the best interests of the organization and we are adopting these changes for the upcoming season.
The SOAS Secretary will continue to have the following duties: the recording & publishing minutes of the general & board meetings, making bank deposits and reconciling the bank account (to be verified monthly by the President), calculating and presenting to the board a proposed prize fund for the Grand Finals Tournament, and preparing and filing all required Federal and State Tax reports. In the past, the SOAS secretary was required to do these duties without compensation (although league secretaries do virtually the same thing and are paid approx. $.50 per bowler per week). Under my proposal, the Secretary will have the same duties as before as well as completing the tournament financial report (a worksheet that takes approx. 15 minutes to fill out), and handle the entry forms (mailing, emailing, sign-ups, etc...); for this the SOAS Secretary will paid $1 per bowler per tournament (approx. $75-80 per tournament).
The Tournament Director position will become a Sunday-only position, whose duties will become strictly the following: check-in of bowlers before squads, sign-ups and running of brackets, collecting and recording scores in tournament computer program, double-checking score sheets with computer standings printout, and assisting with the match-play semifinals. At the conclusion of the matchplay semi-finals, the Tournament Director's duties would be complete until next tournament. The Tournament Director's compensation would be $2 per bowler per tournament (approx. $150-$160 per tournament).
The President will assist the host centers with the pro-am tournaments as well as assist the Secretary and Tournament Director when needed. The President will also assist in running the matchplay semi-finals and the step ladder finals. Our sophisticated computer program keeps track of most money, points, average, etc... so the program will be backed up each month and the standings of each category will be posted on the website and available at the following tournaments.
This new arrangement will save SOAS approx. $150 in expenses per tournament (putting an additional $1200 in the Grand Finals prize fund) and the redistribution of duties and responsibilities will reduce the burden on the Tournament Director position and offers a fair compensation for the Secretary position.
I have spoken to some interested parties for both the Secretary position and the Tournament Director position, but we will are still strongly urging anyone who is interested in either position to contact either myself or any board member to make your interests known. The Board would like to make a final decision on appointing someone to each of these positions by September 15th. To make things easier for the first tournament, I will be mailing out entry forms just after Labor Day weekend and will be collecting all entries for the first tournament.
